We built Dedendum for industrial operators who handle sensitive operational data every day. This policy explains exactly what we collect, why, where it lives, who can see it, and how long we keep it. No legal fog.
What we collect and why
Marketing site: name, company, work email, phone (optional), and free-text notes you submit through our contact form. This information is used solely for sales conversations and scheduling. Product (for customers): user accounts, captured voice recordings, transcripts, structured knowledge items, queries to Floor Assistant, audit events, and session metadata, all necessary to deliver the service described in your Master Service Agreement. Analytics: we use consent-based, privacy-respecting analytics on this marketing site. No third-party advertising trackers, no fingerprinting, no cross-site tracking. We do not sell, rent, or share personal data for advertising purposes.
Legal basis for processing
Under PIPEDA (Canada) and aligned with GDPR principles: consent for marketing site analytics and contact form submissions; contractual necessity for product data processing required to deliver the Dedendum service; legitimate interest for aggregate product telemetry (counts and latencies, never content) used to improve service reliability.
Where your data lives
All production data (voice recordings, transcripts, knowledge items, queries, and user accounts) resides in Canada Central (Azure). No transatlantic or cross-border replication without explicit written tenant authorization. Our control plane and each tenant's database are physically separated (database-per-tenant architecture, not row-level separation). Backups are stored in the same Azure region.
Third-party processors
Microsoft Azure (Canada Central): infrastructure hosting, compute, and storage. OpenAI (via Azure OpenAI Service, Canada Central where available): voice transcription (Whisper) and language model inference for knowledge extraction and Floor Assistant answers. No tenant content is used to train OpenAI foundation models. We enforce the Azure OpenAI data processing terms which contractually prohibit this. We do not use any other sub-processors for tenant data. Marketing site hosting is provided through our own infrastructure.
Data retention
Marketing site contact submissions: retained for the duration of the sales relationship, then deleted within 90 days of a written request. Product data: retained for the duration of your subscription plus 30 days, after which all tenant data (including backups) is permanently deleted. Voice recordings can be deleted sooner at the tenant administrator's request. Aggregate telemetry (no personal data): retained indefinitely for service improvement. Audit logs: retained for 730 days (2 years) as required for compliance and security incident investigation.
Your rights
Under PIPEDA, and in alignment with GDPR for any EU/EEA individuals: you can access, correct, or delete your personal data by emailing [email protected]. We commit to a Data Subject Access Request turnaround of 30 calendar days or less. Deletion includes backups rolled off within 35 days. You may withdraw consent for marketing communications at any time. If you believe we have not adequately addressed your privacy concern, you may file a complaint with the Office of the Privacy Commissioner of Canada (OPC).
Cookies
This marketing site uses: strictly necessary cookies for site functionality (session, language preference); analytics cookies (consent-required) for aggregate visitor statistics. No advertising cookies. No cross-site trackers. A consent prompt is shown on first visit. You can withdraw consent at any time by clearing your browser cookies or using the cookie settings link in the footer. The Dedendum product application uses session cookies only, required for authentication.
Children's privacy
Dedendum is an enterprise product for industrial operations. We do not knowingly collect personal information from anyone under 16. If we learn that we have collected data from a minor, we will delete it promptly.
International transfers
By default, all data stays in Canada. If a tenant explicitly authorizes cross-border replication (for example, to serve a multi-region operation), we will disclose the destination region and applicable legal framework before any transfer occurs. Standard Contractual Clauses (SCCs) or equivalent safeguards will be in place for any transfer outside Canada.
Data breach notification
In the event of a breach affecting personal data, we will notify affected tenants within 72 hours of becoming aware of the incident, in accordance with PIPEDA's breach reporting requirements. Notification will include: what happened, what data was affected, what we are doing about it, and what you can do.
Changes to this policy
We will post changes here with an updated date. For material changes that affect how we handle your data, we will notify active customers by email at least 30 days before the change takes effect.
